Late payment reminders

How Kibble drafts friendly reminders for overdue invoices at 5, 15 and 30 days late, and why nothing is sent until you approve it.

When an invoice goes unpaid past its due date, Kibble drafts a polite reminder at 5, 15 and 30 days late. The draft appears in Needs you on the Business Dashboard and pops up once. Nothing is sent until you approve it. Review it, tweak the wording if you like, and send it from your own Gmail.

How do reminders work?

  1. An invoice passes its due date, which depends on its terms (Net 30 by default).
  2. At 5 days late, Kibble drafts a reminder and adds “Reminder for INV-… is ready” to Needs you, with “Kibble drafted it, nothing is sent until you approve.”
  3. Click Review to read and adjust it, or Approve & send if it looks right.
  4. If the client still hasn’t paid, the same happens at 15 and 30 days late.

You stay in charge of the tone. Think of a dog nudging your elbow, not a dog barking at the mail carrier.

Drafted items wait in Needs you until you approve them.

Can I send a reminder early?

Yes. On the Dashboard, a late client shows a card with Draft reminder. Click it any time.

How do I see what’s overdue?

On Invoices, filter by Overdue. The Dashboard also shows what’s outstanding and which clients are late.

When do reminders stop?

As soon as the invoice is marked paid. That happens automatically when a matching client payment is added to your business Checking account, or when you add a payment email from the Inbox. See Send your first invoice.

What else is in Needs you?

Each one also pops up once, so you won’t miss it even if you rarely open the Dashboard.

Questions people ask

Will Kibble email my clients without asking?

Not for reminders. Every overdue reminder waits for your approval. The only thing that can send without review is a monthly retainer invoice, and only if you turn that on.

Can I edit the reminder before sending?

Yes. Review it, change the wording, then send.
