How to send a quote or estimate from Kibble, set how long it's valid, and turn it into an invoice in one click when the client says yes.

An estimate is a quote you send before the work. In Kibble, find it under Invoices > Estimates. Estimates are numbered EST-0001, EST-0002 and so on, have a valid for period, and go out as a PDF from your Gmail just like invoices. When the client says yes, click Accepted: make invoice and it becomes a real invoice.

How do I send an estimate?

  1. Open Invoices and switch to Estimates.
  2. Start a new estimate and pick the client.
  3. Add lines: fixed fees, expenses, or hours at your rate.
  4. Add an optional note, like whatโ€™s not included. Scope creep hates this one trick.
  5. Send it.

The default valid for period is set in Settings > Business under Estimates valid for. You can change it on each estimate.

What happens when the client accepts?

Open the estimate and click Accepted: make invoice. If the client already has unbilled hours, Kibble asks whether to bill the estimate as written or the actual hours. Then the new invoice opens, ready to send.

What happens if it expires?

Kibble marks it as no longer valid. Either Send again with new dates, or click Edit again (back to draft), change Valid for, and send.

Can I change an estimate after sending?

Yes. Click Edit again (back to draft), update it, and Send again.

Where do I set up sending?

Estimates use the same Gmail address and app password as invoices. Set them in Settings > Business (see Send your first invoice and Make a Gmail app password).
