Import from QuickBooks
How to bring clients, invoices, expenses and time from QuickBooks Online into Kibble, plus FreshBooks, Wave, Harvest, Toggl and spreadsheets.
To move from QuickBooks Online to Kibble, export your customers, invoices, expenses and time from QuickBooks as Excel files, then in Kibble open Settings > Business and import them. Columns are matched automatically, duplicates are left out, and you check everything before it’s added. FreshBooks, Wave, Harvest, Toggl and spreadsheets work the same way.
Step 1: Export from QuickBooks Online
Menu names can differ a little by plan, but generally:
- Customers: Sales > Customers > Export to Excel
- Invoices: Reports > Invoice List > Export to Excel
- Expenses: Reports > Transaction Detail by Account (or Expenses by Vendor) > Export
- Time: Reports > Time Activities by Customer Detail > Export
Step 2: Import into Kibble
Open Settings > Business and start an import. If you don’t have business data yet, the banner on the Business Dashboard works too. Kibble walks you through it:
- Where from: pick QuickBooks. Kibble shows the export steps again, just in case.
- How far back: pick how much history to bring.
- Files: add your exported files.
- Match columns: Kibble matches columns for you. Fix any it got wrong.
- Review: see what will be added. Possible duplicates are unticked, so tick any you want.
- Done.
What can I import from other tools?
| From | What |
|---|---|
| FreshBooks | Clients, invoices, expenses, time (CSV exports) |
| Wave | Transactions, customers, invoices (CSV exports) |
| Harvest | Time, invoices, expenses, clients |
| Toggl Track | Time entries (Reports > Detailed > Export > Download CSV) |
| Any CSV or Excel file | One kind of data per file or sheet. Kibble works out which is which. |
| Google Sheets | Paste a link shared as “Anyone with the link (Viewer)” |
There’s also a Kibble template. Click Download template, fill in the sheets you need, and import it.
How are expense categories handled?
Kibble maps common category names from QuickBooks, Wave and FreshBooks to the matching Schedule C line, so your tax reports line up from day one. Check them on the Review step.
What’s next?
Import bank and card statements to fill in recent expenses (see Import bank and card statements), and connect Clockify if you track time there.
Questions people ask
Will importing create duplicates?
Anything that looks like it's already in Kibble is flagged as a possible duplicate and left out unless you tick it.
Do I need Excel installed?
No. Kibble reads and writes Excel files by itself.
What about invoices that were already paid?
Paid invoices are linked to a matching imported deposit if there is one. Otherwise they're marked paid without adding money twice.
